Getting Started
What NuvoTime does and who it helps.
NuvoTime is team operations software for shift-based teams, project-based teams, or businesses that use both. You can schedule work, track attendance and project time, assign tasks, collect forms and reports, manage requests and announcements, track equipment, and review gross earnings from one workspace.
NuvoTime is designed for small and growing teams such as restaurants, cafes, retail, hospitality, cleaning and property services, field teams, professional services, and other businesses that need schedules, time, daily work, and manager follow-up in one place.
Yes. Shift-based teams can use schedules, attendance, requests, and kiosks. Project-based teams can manage customers, projects, jobs, tasks, work time, and invoices. A business that needs both can use both together.
Yes. During setup, you can add example team members and work records that match your business type and selected tools. You can remove the examples later, or start with a clean business instead.
Team, Locations & Access
People, locations, roles, and who can access what.
No. A team member can be scheduled, clock time, and use a shared kiosk without having a personal login. Personal employee access can be added later when you want that person to use NuvoTime from their own device.
Yes. Each employee can have a primary location plus additional permitted work locations. They can be scheduled or work at any permitted location without being counted as a separate employee for each location.
No. An active employee counts once toward your team capacity even when they are permitted to work across multiple NuvoTime business locations.
Yes. Employees can be allowed to work at selected locations. Owners can also limit managers and admins to the locations they are responsible for.
Yes. Choose a Direct Manager on the Team member record. That manager receives review alerts and starts with a My Team view for direct reports. Owners and admins can still review permitted requests, and unassigned employees fall back to managers for their location. Direct Manager does not change a work role or location access.
Access controls who can open NuvoTime as an Owner, Admin, or Manager and which locations they may oversee. Roles describe the work a team member performs, such as Cook, Technician, or Bookkeeper, and are used for schedules, tasks, and eligibility.
Yes. Authorized users can switch between multiple business workspaces without mixing each business's people, locations, settings, or operational records.
Yes. Each business chooses and pays for its own Shift-based, Project-based, or Both subscription. Employee capacity, included locations, payment method, invoices, renewal date, and subscription status remain separate for every business.
Yes. An owner can set a device limit for employee, manager, and admin access. The first approved login claims a device. A manager can reset an employee's approved devices from the Team page when the employee changes phones or computers.
Scheduling & Attendance
Schedules, open shifts, availability, requests, and clocking.
Managers can build weekly schedules with assigned shifts, open shifts, roles, locations, start and end times, and breaks. NuvoTime also supports reusable shift templates, fixed weekly schedules, availability warnings, holiday context, and a draft-and-publish flow so managers can review issues before employees see the schedule.
Yes. Work Calendar gives managers Agenda, Week, and Month views of published shifts, fixed schedules, open shifts, tasks, project appointments, approved or pending leave, holidays, maintenance dates, and project milestones. Filters can narrow the calendar by location, team member, role, project, or work type.
Yes. Fixed schedules can represent employees who normally work the same weekly pattern without creating every shift again. Time off, holidays, cancellations, and one-day changes can override the recurring pattern when needed.
Yes. When adding an assigned shift, select Add split segment and enter the second work period. NuvoTime keeps the segments connected while recording attendance separately for each one. Fixed weekly schedules can also have two segments on the same weekday.
The employee clocks in and out for the first segment, then clocks in and out again for the second segment. After the first segment is complete, NuvoTime shows the next split segment. The gap between segments is not counted as worked time or break time.
Each segment has its own factual time entry, but payable hours from both segments are included in the employee’s daily and weekly totals. Overtime and gross-pay estimates then use the applicable Shift Rule. Managers should review the configured rules for their location and jurisdiction.
It is the maximum configured time from the beginning of the first segment to the end of the last segment. NuvoTime warns managers when a grouped split shift exceeds this span. The intentional gap between its segments does not count as an overnight rest violation.
Open shifts are shifts that need people but are not assigned to one person yet. Managers can set the role, number of workers needed, and whether an eligible employee can claim the shift directly or needs manager approval.
Yes. NuvoTime can show availability conflicts, holiday context, coverage gaps, and configured Shift Rule warnings before publication. Depending on the rule, a conflict can warn the manager, require acknowledgement, or block publication until it is resolved.
Yes. Team members can request time off, request shift swaps, claim eligible open shifts, and see recent approval or rejection decisions from their personal account or kiosk personal view.
Yes, when the business allows unscheduled work for that employee. The employee selects an eligible role, can add a reason, and starts the clock. Depending on the Shift Rule, they may also choose an active Shift Template for their location and role. If no options are available, manager-defined hours apply. The entry remains unscheduled and can be sent for manager review according to the applicable Shift Rule.
Shift Rules are configurable operational settings for scheduling and attendance. They can define overtime thresholds, break rules, clock-in windows, late or early punch review, unscheduled work, premiums, banked overtime, and other workplace rules. NuvoTime can use them for warnings and review, but they are editable business settings, not legal advice or a guarantee of employment-law compliance.
Yes. Managers can record statutory, observed, company, closure, or special-event dates for all locations or one location. The schedule can show holiday, closure, staffing, and pay-review context while managers plan work.
Clock in, clock out, start break, and end break actions can queue locally during temporary internet loss and sync when the connection returns. Other workflows such as tasks, reports, forms, photos, requests, and settings still need an internet connection.
Yes. Managers can add a full missed shift or repair only a missing check-in or check-out. Adjustments keep source and correction history so factual attendance is not silently replaced.
Projects, Time & Invoicing
Customers, jobs, billable work, timesheets, and invoices.
Create customers, projects, and optional jobs, then assign eligible team members. Employees can start a project timer, add notes, pause, stop, attach required evidence, and submit the time for manager review. Approved billable time can also be used to prepare customer invoices.
A project is the main piece of work for a customer. A job is a larger part of that project, such as a site visit, installation, or monthly service. A task is one action that someone needs to complete. Jobs can also carry Products & Services that may later become invoice lines.
Yes. Open a project's Jobs tab and save an existing job as a template. NuvoTime can preserve its reusable setup, Products & Services, and fresh task definitions without copying the customer, project, employees, time logs, progress, or invoices. The From Template library separates NuvoTime Templates from My Templates, and always lets the manager review the populated job before saving it.
Yes. For work inside the same project, a manager can optionally choose jobs or one-time tasks under Blocked by. NuvoTime marks the dependent work as blocked until those prerequisites are complete. The warning helps the team follow the intended order, but it does not prevent someone from starting or completing work when real conditions require a different order. Repeating tasks cannot be prerequisites because they do not have one permanent completion.
Yes. The project detail page brings together jobs, tasks, assigned team members, time logs, billable work, progress, and a project timeline. The timeline keeps notes, decisions, meetings, appointments, site visits, locations, meeting links, and participants connected to the project. Assigned team members can add updates from their dashboard, while managers can turn an update into a prefilled task or job.
Yes. Add an appointment, meeting, or site visit from the project's Timeline tab. Set the start and end time, location or meeting link, participants, optional reminder time, status, and whether the update may be shared with the customer. Upcoming project work also appears on the project overview and assigned team members can see project updates on their dashboard.
Yes. Switch between the compact project list and the Kanban board, then drag projects between valid stages such as planned, active, on hold, and completed. Focus View gives the board more room for planning meetings, and manual refresh brings in recent changes without constant background polling.
Yes. Open Work Activity from that person on the Team page. It shows project time logs, project tasks, collaborative checklist work, reports, customer activity, and current project or job assignments. Time Entries remains the separate record of shift attendance.
Create a customer, add the people you work with, assign an account owner, and record calls, meetings, proposals, and next follow-ups. Opportunities can become projects, while jobs, tasks, forms, time logs, invoices, and the customer activity timeline keep customer management connected to the work your team delivers.
Yes. You can import a customer list from CSV. NuvoTime also recognizes common Google Contacts and Apple Contacts columns, shows a preview, and lets you check the rows before they are added.
Yes, when a manager enables assigned contact access for that team member. Employees see only operational contact details for customers they own or reach through assigned projects and jobs. They can email, call, or open the service address in Google Maps. Billing, tax, internal notes, invoices, and revenue remain private. A manager can separately allow the employee to add contacts to customers they already have access to.
Yes, when a manager enables customer creation for that team member. New customers require manager approval by default and appear in Reviews before they can be used for projects, jobs, invoices, or reports. A manager can edit and approve the submission, merge it into an existing customer, or reject it with a note. Trusted employees can be allowed to create customers directly.
A manager can mark the opportunity as won, record why it was won, and turn a prospect into a customer. NuvoTime can also create the first project and assign the opportunity owner so delivery starts without entering the same details again.
Yes. A project or job can require a start photo, end photo, both, or no photos. Start and end actions can also capture GPS when that location has GPS enabled for project work.
Yes. Managers can approve, reject, adjust, or return submitted time with a note. Authorized users can correct start and end times, duration, billable status, customer rate, and employee pay treatment, and they can enter missed project time manually.
Yes. Approved billable project time can be grouped into a customer invoice. Invoice line items remain editable, and NuvoTime can record supplier details, invoice numbers, tax settings, payment terms, currency, and simple sales-tax summaries.
Yes, when the business owner connects the business's own Stripe account. A manager can copy a secure payment link for an issued invoice, and the customer completes payment on Stripe's hosted checkout. Stripe pays the business directly. NuvoTime does not hold the money or store card details. Businesses can still record cash, cheque, bank transfer, and other external payments manually.
Products & Services is a reusable list of things your business sells. Each item can have a price, unit, tax setting, and description. You can add items individually or import a reviewed CSV, then use them as job charges and suggested invoice lines. Each business can keep up to 1,000 products and services.
Download the CSV template from Products & Services, enter the catalog rows, and upload it for review. NuvoTime separates valid rows, matching items, new items, and errors before anything is saved. The import is completed as one transaction so a failed row does not leave a partly imported catalog. The 1,000-item business limit also applies to imports.
Yes. Approved payable project time can become a Gross Pay earning source. NuvoTime keeps the wage context used for the work period and avoids duplicating the same hours when they are already represented by attendance.
Kiosk & Employee Access
Shared workplace devices and personal team access.
Kiosk Mode turns a shared tablet, phone, or computer into a workplace clock and work screen. Employees can use a PIN to clock in or out, see today's work, complete tasks, read announcements, make simple requests, and claim eligible open shifts without a personal account.
Yes. Employees can open NuvoTime in a supported browser on a phone, tablet, or computer. They can also install it from the browser so it feels like an app, without using an app store. It updates automatically and keeps their schedule, clock, tasks, requests, announcements, balances, points, and assigned assets in one place.
Yes. A kiosk can show nicknames, full names, or hide employee names, and larger or privacy-sensitive teams can use a PIN-first layout. Each kiosk is also tied to one location and one active device at a time.
Yes, when the business enables clock photos. Personal employee clock photos are stored privately according to the configured retention policy, while kiosk-local clock selfies stay only in that kiosk browser for up to seven days.
Yes. NuvoTime can show notifications inside the app, send email, and send browser notifications on supported devices. Employees can receive updates such as a published schedule or a decision on their request when those notifications are enabled.
An Attendance Checkpoint is a clock page for a workplace entrance, customer site, or project. A manager can print its QR code or write its secure link to an NFC tag. An employee scans or taps it, enters a PIN or signs in, and confirms the clock action.
Yes. A checkpoint can have no project, let the employee choose a project, or always use one project and optional job. If the customer has a GPS position, NuvoTime can also check whether the employee is near that work site.
Tasks, Forms, Reports & Assets
Repeatable work, evidence, handoffs, equipment, and follow-up.
Forms are reusable checklists and data-entry templates that can be attached to tasks or made available as proactive employee reports. Fields can include checkboxes, yes/no, text, numbers, temperature, dropdowns, photos, PDF attachments, secure external links, locations, and asset QR scans.
Yes. A manager can add a PDF Attachment or External Link field to a Form. PDFs are stored privately in NuvoTime, are limited to 10 MB, count toward the business's cloud storage, and open through a temporary authorized link. External links must use HTTPS and remain controlled by the outside provider. These fields work in the employee app for reports and task forms, including project and job tasks. Shared kiosks do not accept documents or external links.
No. Form file uploads currently accept PDF files only. Photos use a separate Photo field. For CSV, Excel, Word, Google Sheets, or other documents, add an External Link field and have the employee share a secure HTTPS link from Google Drive, OneDrive, SharePoint, or another trusted provider. The CSV and Excel labels on the Flexible Forms section describe formats that authorized managers can export from completed Form Submissions; they are not employee upload formats.
A task is work that is assigned or made available for completion. A report is something an employee submits proactively, such as an incident, maintenance issue, sales lead, customer concern, inventory note, quality report, or shift handoff.
Yes. A repeating task appears when its next day or period is due, so a manager does not need to create another copy every time. The original task stays as the rule, while each day's completion is recorded separately. Tasks can repeat by day, week, or common monthly dates.
Yes. Collaborative checklists let different employees complete separate required fields. NuvoTime records who completed each field and keeps the task in progress until all required work is finished.
Yes. Reports can be sent to managers, to a receiving role or employee for the next shift, or to both. A reviewer can also be required to add a response before the workflow is considered resolved.
Open Form Submissions. List View is best for records, answers, and status. Gallery View is for photo evidence. Documents View lists uploaded PDFs and secure external links, with actions to open the document or its original submission. Use the shared filters to narrow results by form, date, employee, location, project, job, or status.
Yes. Gallery View shows image-first tiles with only the essential context. Filter by date, form, team member, location, project, job, photo field, or capture source, then open an image to preview it, download it, or view the full submission. Focus View gives the gallery more room for inspections, before-and-after evidence, and progress reviews.
Focus View temporarily gives supported Kanban boards and image galleries more screen space while keeping your current view and filters. It is useful for planning meetings and visual reviews, and you can leave it with the visible exit control or the Escape key.
Yes. Authorized users can export filtered form submissions as CSV or Excel, or download one submission as a PDF. The export follows the filters you selected.
Yes. A reporting form can allow the employee to choose a customer, project, and optional job. The available choices follow the employee's assignments and the form settings, so the report stays connected to the right work.
Yes. A reporting form can offer non-cash recognition points, a fixed amount, or an hourly amount. Managers can approve points and view totals by employee and period. NuvoTime never converts points into wages, cash, gift cards, or payroll amounts; any outside reward is handled separately by the business or manager.
Each asset can have its own QR code and authorized profile. After scanning it, a team member can confirm the asset identity, status, location, current responsibility, and expected return. Eligible employees can check out or return shared assets, and anyone with access can report an issue. Forms can also require an Asset QR Scan field to verify the exact asset being inspected or reported on.
The employee records the issue, severity, description, and whether the asset is unsafe to use. An unsafe report places the asset on safety review immediately. A manager then records a decision to send it to maintenance, mark it damaged, or return it to service. The issue, source, employee, status, and review decision remain in the asset history.
Yes. Managers can choose which assets allow employee custody and which employees may take them. Issue, return, transfer, and custody events are recorded in an assignment history, and temporary items can have an expected return time.
Yes. Asset records can include maintenance logs, status, schedule, cost, vendor, notes, follow-up assignments, and completion history. Maintenance issues can also be connected to tasks and employee reports.
Announcements & Notifications
Keep teams informed without relying on another group chat.
Yes. Team Messages provides short, asynchronous one-to-one workplace conversations for signed-in team members. It is not a realtime group chat and is never shown on a shared kiosk. Owners control whether messaging is disabled, manager-to-employee, or available between employees who share permitted location or project work.
Yes. The composer includes system quick replies such as Got it, On my way, Reply later, and Please call. Each user can also save up to 20 personal quick replies per business. Choosing a quick reply fills the draft so it can still be reviewed before sending.
Yes. NuvoTime provides a small workplace-friendly emoji picker for acknowledgements, thanks, urgency, calls, travel, and celebrations. Messages remain plain text, limited to 500 characters, and do not support file attachments.
A message is visible only to its sender and recipient during the business's 30-day, 90-day, or one-year retention period. Managers cannot browse conversations. If a recipient reports a message, an owner or admin can review only that reported message and the stated reason.
Yes, when the business connects organization email and gives both people email access with approved business addresses. Choose Team in Compose, then select an email-enabled owner, administrator, manager, or employee. Internal email appears in the permitted users' Sent and Inbox views. Owners and authorized organization-wide email administrators may review business email, while other users see only messages they sent, received, or are otherwise permitted to access.
Yes. An owner or authorized admin can add a shared mailbox and choose who may read it, send from it, manage its queue, and receive new-mail notifications. Open Email > Inbox to see the Shared inbox queue with Unassigned, Open, Waiting, and Resolved views. Open a message to change its queue status or assign it to a permitted team member. Customers see the shared address, while NuvoTime records which app user actually sent each reply.
Yes. A business can open its usual email app, send through an approved business address, or connect sending and receiving through its own Resend account. Shared mailboxes can assign responsibility and move customer email through Unassigned, Open, Waiting, and Resolved. NuvoTime keeps permitted email connected to customers and work, but it is a practical shared inbox rather than a full ticketing or call-centre system.
Yes, when the owner enables attachment access for your app account. NuvoTime checks received JPEG, PNG, and WebP images, converts accepted images to WebP, checks PDF documents, and stores the accepted copy in private organization storage. Unsupported, mismatched, excessive, or oversized files are blocked. Authorized previews and downloads are recorded in the email audit log.
The owner can choose 90 days, 6 months, 1 year, 2 years, 3 years, 5 years, or an optional 7-year compliance archive. Two years is the default. Messages in Trash are permanently removed after 30 days, and pinning an email does not extend its retention period. Received attachment files have their own retention setting and may be removed before the email record.
No. Owners and authorized email administrators control the organization Trash and can restore business email for 30 days. A user can remove a draft they created, but personal actions such as read, pin, important, and archive affect only that user's mailbox view.
Managers can target everyone, one location, selected roles, or selected employees. Start and end dates control when the announcement appears in personal employee access and on eligible kiosks.
Yes. NuvoTime records the response state for announcements that require acknowledgement, short text, yes/no, or poll responses, so managers can see whether the requested feedback was provided.
Leave & Gross Pay
Leave balances, overtime banks, earning review, and payroll handoff.
When enabled, employees can see personal leave balances, banked overtime, vacation pay balance, and available earning summaries from their own NuvoTime access.
Leave Policies define how vacation, sick, personal, protected, unpaid, or custom leave works for a business. Policies can track hours or days, employee request permission, approvals, documentation, service-based entitlement tiers, accrual, carryover, caps, expiry, and whether the leave is paid or unpaid.
Yes. NuvoTime can maintain leave ledgers, opening balances, manual adjustments, accrual runs, carryover, year-end expiry, and payout review according to the policies configured by the business. Opening balances can be imported from CSV with a cutover date so earlier periods are not accrued again.
Import the confirmed remaining hours or days and the used year-to-date amount as an opening balance. If the business also owes accrued vacation-pay money, import that amount separately. NuvoTime keeps leave time and vacation-pay money in different ledgers.
No. NuvoTime provides configurable policies and optional regional starting points where available, but the business is responsible for reviewing and configuring the rules that apply to its employees and jurisdiction.
Banked overtime lets reviewed overtime become paid-time-off credit using the ratio configured in the applicable Shift Rule. Employees can request available banked time later, and authorized managers can review expiry or payout situations.
No. NuvoTime reviews gross earnings and exports earning lines. It does not calculate income tax, statutory deductions, employer contributions, take-home pay, government remittances, or tax filings. Export the reviewed earnings to NuvoWage or another payroll provider for payroll processing.
Gross Pay can combine approved regular and overtime earnings, shift premiums, project-time earnings, report incentives, vacation pay, tips, commissions, bonuses, reimbursements, and manual earning or deduction instructions before export.
Daily Views & Reports
Know what needs attention now and what happened before.
The dashboard highlights work that may need attention now. It changes with your work mode and can show schedule gaps, attendance issues, submitted project time, overdue tasks, unresolved reports, and maintenance follow-up.
Open Attendance to see who is scheduled, clocked in, on break, finished, late, missing a clock-out, or working without a schedule. Managers can also correct factual clock records from this page.
Open Reviews for employee-submitted items such as time off, swaps, open-shift claims, attendance exceptions, project time, and reports. Attendance is used for the actual daily clock record, while Reviews is used when a manager must make a decision.
Yes. NuvoTime can show active shift attendance and running project work. A project task can start the related project timer, so the current work stays connected to the employee, project, job, and task.
Reports summarize schedules, actual attendance, coverage, project time, billable work, tasks, employee reports, and equipment activity for the selected dates and locations. Use the detailed record pages when you need to inspect or correct one item.
Pricing & Billing
Trial access, active employee capacity, and bundled locations.
Choose Shift-based, Project-based, or Both, then choose the active-employee capacity your team needs. Each capacity tier includes a bundled number of business locations, and you can pay monthly or yearly. Employees count once even when they work across more than one included location.
Active employee capacity covers people who can actively participate in schedules, clocking, tasks, employee access, or kiosk workflows. NuvoTime also tracks reserved seats so simply deactivating and reactivating people cannot be used to bypass plan capacity during a billing period.
Their active work access stops, while the seat can remain reserved according to the current billing-period rules. Historical schedules, attendance, tasks, reports, and other records remain available after deactivation.
The 14-day trial lets you choose Shift-based, Project-based, or Both and explore the selected workflows with up to 5 active employees and 1 location. No credit card is required. Trial workspaces do not upload cloud images; cloud image storage becomes available with a paid plan.
Choose Both when your business needs shift and project workflows together. Shift-based focuses on scheduling and attendance, while Project-based focuses on customers, projects, jobs, time logs, and invoicing. Common tools such as tasks, forms, reports, customer records, assets, leave, and gross-pay preparation remain available where they fit the selected work style.
The business becomes read-only until an owner starts a paid subscription. Your records stay available, but the team cannot create new work, clock time, or make changes. An owner can open Subscription in Settings to choose a plan and restore access.
Complimentary means NuvoTime has provided your business with time-limited plan access without collecting payment. The Subscription page shows the included capacity and end date. It does not create or change a Stripe subscription, and an owner can still choose a paid plan.
No. Locations are bundled with each active-employee tier. Move to the next capacity tier when you need more active employees or business locations. Contact NuvoTime if you need more than 250 active employees or 10 business locations.
No. The location allowance applies to your own branches, offices, stores, restaurants, job bases, or other operating locations. Customer addresses and project job sites do not consume a business location allowance.
Yes. Gross Pay Review is part of the feature-complete paid plan and can also be explored during the trial. It prepares reviewed gross earnings for export but does not calculate current statutory deductions or take-home pay.
Privacy & Security
GPS, photos, business records, and access controls.
No. NuvoTime does not continuously track employees. GPS can be captured only at configured work actions, such as clocking, tasks, reports, project time, or selected kiosk actions.
No. GPS is optional and can be enabled independently by location and workflow. Businesses are responsible for deciding when GPS is appropriate and for communicating their workplace privacy practices to employees.
Cloud task, report, project-time, and employee clock images are stored privately and opened through authorized access rather than public image URLs. Businesses can configure retention periods for supported images, and kiosk-local clock selfies stay only in the kiosk browser for a limited period.
Yes. Authorized users can remove supported image files while retaining the underlying task or report record, and deleting supported task or report records can also clean up their managed image references.
No. Employee access is focused on personal schedules, attendance, requests, tasks, reports, announcements, balances, points, and assigned assets. Managers, admins, and owners have broader access according to their role and permitted locations.
Each business has its own workspace. A person's role and permitted locations decide what they can open and change. Records from one business are not shown inside another business.
